Stop entering invoice data by hand.

Turn incoming invoice emails into validated business records and a short daily exception review.

01

Before automation

An employee opened each invoice email, downloaded the attachment and manually entered the supplier, invoice number, date, amount, currency and other required information into a spreadsheet.

Processing one invoice took approximately five minutes in this workflow. The same repetitive work was performed every day, while typing errors, duplicate records and missing information had to be found manually.

What the system does

A controlled route with visible checks, owners, exceptions and a processing history.

  1. 01Monitor the agreed email inbox
  2. 02Identify messages containing invoices
  3. 03Download invoices and attachments
  4. 04Extract the required information
  5. 05Check mandatory fields and formats
  6. 06Detect possible duplicate invoices
  7. 07Add completed records to the spreadsheet or ERP
  8. 08Send unclear documents to a review queue
  9. 09Log every processed document and action
03

After automation

The employee no longer enters every invoice manually.

Once a day, they open the review queue, compare original documents with extracted records and correct only the exceptions.

Human control remains part of the workflow.

Employees compare original documents with extracted records and correct exceptions. Unclear documents never move into completed records without review.

Built around the real process

Required fields, validation rules, duplicate checks and the destination system follow the company’s accounting process.
